An old contact detail is an unresolved field, not a verdict

When a supplier's phone number, email address or website no longer works, mark that contact route as unconfirmed and look for current evidence. Do not immediately label the business closed, unreliable or fraudulent. The supplier may have changed systems, a directory may contain an old record, or the route may belong to a different branch. Your immediate decision is whether you can establish a suitable current enquiry channel for the supplier identity you actually intend to consider.

Keep the failed route, the date checked and the exact result in your shortlist notes. An unanswered call, a returned email and a website loading error are different observations. Avoid turning them into the same 'inactive' label. A useful directory process preserves what happened and what remains unknown, so another buyer can understand why a supplier has not yet been contacted without treating incomplete administrative evidence as a review of its work. Keep branch-specific routes distinguishable, so an enquiry for one district is not silently redirected to an unrelated office or service.

Establish which business the detail is supposed to reach

Compare the listing name with the formal business identity already available in your documents. A trading name, legal entity and branch label may differ without describing unrelated suppliers. Conversely, a similar name is not enough to merge two records. If an offer or invoice exists, retain its identifier and date. Ask for the relationship to be explained rather than assume the newest search result must belong to the company you originally shortlisted.

The Cyprus Registrar's business-name e-services provide a route to official entity information. The existence of that search service does not mean a registry record confirms every public phone number or website. Use official information for the question it can answer, then reconcile contact evidence separately. A directory profile should not imply a current contact guarantee merely because its name resembles a registered entity.

Use an independently supported route for clarification

Look for a current supplier-controlled website, a previously established contact or another documented channel associated with the same entity. Record how you found it. If somebody introduces a replacement email address in the same message that changes invoice or payment details, do not treat that message alone as independent confirmation. Follow your organisation's normal identity and payment controls, without sending money or sensitive documents merely to test whether the new route is genuine.

Keep the enquiry proportionate to your purpose. You can ask whether the business still handles the relevant service, which location the contact supports and where a formal request should be sent. You generally do not need customer lists, employees' personal documents or unrelated financial information to resolve a public contact field. An introductory conversation confirms a communication route; it does not establish qualifications, availability, price or delivery performance for the later project.

A fictional directory correction illustrates the evidence gap

Consider a wholly fictional buyer who finds an office-services listing with an email address that returns a delivery failure. A search result shows a new website using a similar name, but no evidence yet links it to the original entity. The buyer keeps both observations rather than replacing the address immediately. No real supplier, customer experience or Cyprus market result is represented. The question is whether the apparent replacement is supported well enough to update the purchasing record.

The buyer contacts a previously documented business representative through an established route and receives the current legal and trading details with the appropriate enquiry address. The record notes who supplied the clarification and when. The failed email remains part of the history, not a published allegation. If the explanation had remained unclear, the buyer could have left the supplier unconfirmed and used other candidates without inventing a closure date or claiming that somebody had verified the new website.

Correct your own record without claiming control of every platform

If you manage the supplier shortlist, update the specific field you have evidence to change and retain the prior value where your process requires history. Avoid silently changing the business identity at the same time. If you request a directory correction, identify the listing, disputed field and supporting public or supplier-provided evidence. The directory operator should assess that request through its own process. A correction request is not proof that every connected profile has already been updated.

Google's Business Profile help describes editing business information through its own platform. That supports the distinction between a business changing an owned profile and a third-party directory changing its separate data. It does not mean an edit appears everywhere immediately or that a buyer controls the supplier's accounts. Do not ask for credentials to fix a contact discrepancy. Use the relevant correction route and keep unresolved profiles clearly identified. Google asks for a full website URL, including its http:// or https:// prefix. Compare that complete address with the route you checked; a familiar display name alone does not establish that two destinations are the same.

Reassess suitability after the contact question is answered

Once the current route is established, send a scoped enquiry and record whether the supplier responds to the actual request. Identity, communication and suitability are separate decisions. A confirmed email does not tell you whether the business can undertake the work, holds any permission relevant to it or will meet your timetable. Equally, an outdated listing should not remain a negative quality judgement after the record has been corrected with adequate evidence.

Businesses.cy's contact route and its guide to checking a Cyprus business before booking can support a focused correction or enquiry. Keep the final shortlist status specific: current contact established, clarification pending or candidate not progressed for a stated administrative reason. Review it when new evidence arrives rather than invent a permanent label. This produces a useful supplier record while preserving the limits of directory information, respecting unrelated data and keeping commercial decisions tied to the questions you actually checked.

Frequently asked questions

Does a returned email prove that a supplier has closed?

No. It establishes a failure for that route at that time. Record the result and seek current evidence without converting it into an unsupported claim about the business's trading status or quality.

Should I replace a listing with the first new phone number I find?

Not without evidence connecting the number to the intended supplier identity. Retain the source and date of clarification, and keep contact verification separate from later project suitability checks.

Does an updated phone number establish the supplier's project qualifications?

No. It supports the communication route you checked. Current service scope, relevant permissions, capacity and suitability still require their own evidence before the supplier is chosen.
