Start with the party taking responsibility for the work
Checking a subcontractor's business identity means establishing who will undertake the work and how that party connects to the name you found. A logo, mobile number and directory entry can identify a useful lead without identifying the entity that will issue the quotation. Before shortlisting, ask for the full contracting name, business form, applicable registration identifier and the name of the person handling the offer.
First establish your position in the purchasing chain. If the main builder appoints and pays the subcontractor, ask the builder to confirm that relationship. If you appoint the trade directly, the quotation should identify your supplier directly. A recommended business and an appointed subcontractor are different arrangements. Record the answer before requesting credentials, because evidence belonging to a similarly named company will not resolve who is responsible for your particular work.
Connect trading names to a searchable identity
A trading name may differ from the name on a company document. Greek and English presentations can also look different to a buyer unfamiliar with the business. Ask the supplier to explain the connection and provide the identifier under which it should be checked. Do not infer a match from a shared surname, similar logo or nearby address. Equally, a different presentation is a question to resolve rather than automatic evidence of wrongdoing.
The Cyprus Registrar's business-name e-services page provides access to a search of the Business Entity's Register and services for certified copies. Use the official route for the relevant entity rather than relying solely on a screenshot supplied by the business. This establishes a source for identity enquiries; it does not mean every detail needed for procurement is freely visible or that a search result establishes technical competence. Registrar business-name e-services.
Keep identity evidence separate from permission to do the work
Once you have a consistent identity, identify any credentials relevant to the actual work. For building and civil engineering contractors within its scope, the government's Business in Cyprus guidance distinguishes registration from the annual licence. It states that the registration certificate does not require renewal, while the works licence is valid until 31 December of its stated year. An old registration document therefore cannot establish a current annual licence. Official contractor guidance.
The same guidance describes licensing by class and category. Ask for evidence appropriate to the proposed work and verify uncertain scope with the competent authority. Do not extend that contractor scheme indiscriminately to every person described as a subcontractor: the term can cover different activities. Keep separate fields for the entity match, credential issuer, credential scope and validity. A strong answer in one field should never silently fill a blank in another.
Read directory provenance one field at a time
When reviewing a Businesses.cy listing, inspect the source and checking date attached to the details you intend to use. A registry-derived name, company-supplied service description and mapped contact address can have different evidential value. The site's stated method distinguishes checked registration information from other recorded information. A listing remains a discovery aid; it is not an endorsement, a guarantee of current licensing or confirmation that the business has accepted your job.
Build your shortlist around the uncertain fields rather than a single verified label. If the name is supported but the service coverage is company-supplied, ask whether the business currently covers your location and task. If a credential was checked on a previous date, check its present relevance before appointment. Do not copy a directory description into a purchase order as though the supplier had agreed that scope. Obtain the supplier's own written confirmation.
Resolve mismatches without collecting unnecessary personal records
Create a short exception note for each discrepancy: the two conflicting details, their sources, the explanation requested and what would resolve it. For example, an offer under one company name and an invoice template under another calls for clarification of the contracting and invoicing arrangement. A registered office different from the workshop may be entirely explainable. The useful question is whether the supplier can connect the records coherently.
Keep enquiries proportionate. Ordinary supplier identification rarely needs a buyer to gather private identity documents from everyone attending site. Request business evidence relevant to the transaction and avoid circulating personal records through an open group chat. If payment instructions change, confirm the request using a contact route already established independently of the new message. A matching account label alone should not settle an unresolved entity discrepancy. Record who confirmed the arrangement and retain the relevant business correspondence.
A hypothetical shortlist illustrates the decision
Suppose a buyer receives a recommendation for 'Harbour Interior Works', a fictional trading name. The directory lead uses that name, while the quotation names 'Example Interiors Limited'. The buyer asks which party will undertake the work. The supplier explains the trading-name relationship and supplies its company identifier. The buyer checks the official route and records the connection. This is an illustrative process, not an account of an actual Cyprus business.
A second question remains: the builder says its own subcontractor will perform part of the work. The buyer asks whether that subcontractor is appointed by the builder or directly by the buyer. If appointed by the builder, the builder should explain the work boundary and contact arrangement. If directly appointed, the buyer needs a separate supplier record. Resolving the name match does not resolve this appointment question. Both businesses can be identifiable while responsibility remains unclear.
The shortlist decision can now be specific: identity connected, relevant credential still to be checked, appointment route confirmed, written scope outstanding. This is more useful than either approving everything because a company exists or rejecting everything because the first two names differed.
Preserve a supplier record that supports the next purchase
Keep the evidence compact enough to use. Record the contracting name and identifier, trading name where relevant, independently checked contact route, dated credential evidence and the accepted quotation. Add unresolved points explicitly. Avoid statements such as 'fully verified' when only identity was checked. A future colleague should be able to see what was established, from which source and for which scope without repeating the entire conversation.
The guide to supplier systems and records is useful when turning this one-off check into a repeatable purchasing process. Assign someone to maintain the record and revisit material changes before the next appointment. A new legal entity, changed payment recipient or expanded work scope can justify fresh checks even when the trading name is familiar. Review the relevant listing and its verification method, then take the remaining questions to the supplier before treating the business as ready for appointment.
Frequently asked questions
Does a company search prove that a subcontractor is licensed?
No. Entity identity and activity-specific licensing are separate checks. Verify any relevant credential with its issuing authority.
Is a trading name different from the quotation name a reason to reject the supplier?
It is a reason to request a clear connection between the names. Make the shortlist decision after checking the explanation and relevant evidence.
Should I check a subcontractor appointed by my builder?
Clarify who appoints, pays and coordinates the subcontractor. Ask the builder for relevant identity and scope evidence without assuming that you are the subcontractor's direct client.
What does a directory verification date tell me?
It dates the check described for that field. It does not establish that every other detail is verified or that the information remains current indefinitely.
