Find out who is actually offering the work
A supplier can be easy to recognise and still be difficult to identify on paper. The sign, website and directory entry may use one name, while the quotation uses another. Before adding that supplier to a final shortlist, establish the person or organisation that would provide the work, issue the invoice and receive payment.
The Cyprus Registrar describes a business name as a name under which a natural or legal person can conduct business in the Republic. Its guidance addresses registration where an individual or company trades under a name different from its real or registered name. The trading label therefore needs to be connected to its operator. Registrar guidance on business names.
For a buyer, the practical question is whether that connection is evidenced consistently across the transaction. This article provides a supplier-checking workflow. It does not determine contractual liability in a dispute, and unresolved legal questions require advice from a qualified Cyprus lawyer.
Keep identity fields separate in your shortlist
Record the public trading name separately from the supplier's stated contracting identity. Add the relevant registration number and organisation type where applicable, along with the source and date checked. This prevents a familiar brand from becoming an assumed company name through repeated copying.
Keep addresses separate too. A showroom, workshop, service area and registered office can describe different things. A difference between them needs explanation when it affects the transaction, but it does not by itself prove a false identity. Equally, two businesses using the same address are not necessarily the same supplier.
When browsing the Cyprus business directory, use a listing to discover and contact a candidate. Ask the candidate to confirm the identity that should appear on the quotation and agreement. A directory entry is not an endorsement, a licence guarantee or a substitute for checking the relevant official record. Do not interpret a complete-looking profile as evidence that all those checks have already occurred.
Search the register using the supplied identity
Ask for the exact registered name and number rather than relying solely on a search for the shop sign. The Registrar says its electronic register can be searched by name or registration number. Its published search guidance describes free basic information including organisation type and status, with relevant officer, partner or business-name owner information. Registrar business-register search guidance.
Use those fields to test the supplier's explanation. If the public name is a business name, identify its recorded owner and compare that with the proposed contracting identity. If the supplier supplies a company number, confirm that the result corresponds to the company named in the quotation. Preserve enough detail to repeat the check later.
A successful name match resolves only part of the task. It does not establish that the salesperson is authorised to agree every term, that the business can perform the work, or that payment instructions are authentic. Keep those questions separate so one positive result does not become an unsupported general approval.
Follow a proportionate mismatch decision tree
If the names match and the organisation details support the explanation, continue to the remaining procurement checks. If the trading name and contracting name differ, ask for the relationship in writing and compare it with the relevant record. A documented connection can resolve a routine discrepancy without treating ordinary branding as suspicious.
If no record is found, check the spelling, language version, number and organisation type supplied. Ask the supplier to correct or clarify the information. Absence from one search result is not enough to pronounce a business fraudulent. However, an unresolved identity is a sound reason to pause commitment until there is a usable explanation.
If the quotation names one party but payment is requested for another, stop the payment step and obtain clarification through a previously established contact route. Ask who is entitled to receive the payment and how that relates to the agreement. Escalate persistent inconsistencies to your procurement lead or lawyer; avoid making public accusations from incomplete search results.
A fictional supplier with three different names
Imagine a buyer shortlisting a fictional supplier called Harbour Office Fitouts. Its directory entry and vehicle display that trading name. The quotation identifies Example Joinery Limited, while a payment email names a different recipient. These names are invented solely to illustrate the checking process and do not refer to real businesses.
The buyer first asks Example Joinery Limited to explain the trading-name relationship and provide its exact registration details. Assume the relevant records support the stated connection. That answers why the brand and quotation differ, but it does not resolve the separate payment recipient.
The buyer then contacts the supplier using the phone number already confirmed during the procurement discussion, rather than relying on details newly introduced in the payment email. Payment remains paused while the recipient is explained and documented. If the supplier proposes changing the contracting party instead, the buyer asks a lawyer to assess the revised arrangement before accepting it. The decision follows the remaining discrepancy, rather than declaring the whole transaction verified after the first successful match.
Check permissions and capability independently
Entity identity and permission to perform a regulated activity answer different questions. Cyprus's official business portal treats business structure and registration separately from special licensing for certain activities. A register entry should therefore not be presented as a general authorisation to supply every service advertised. Cyprus official business-starting guidance.
For a regulated service, identify the relevant authority and ask what record or permission should be checked for the precise work offered. Match that evidence to the supplier or responsible professional as appropriate. Do not assume a licence belonging to a similarly named organisation covers the candidate.
Capability needs its own evidence: relevant completed work, a coherent scope and an explanation of who will carry it out. The same applies to insurance evidence where requested for the purchase. None of these documents should be silently transferred between related companies simply because they share a brand. Ask which party each document actually concerns and whether that corresponds to the proposed arrangement.
Correct directory data without overstating verification
When a discrepancy appears to be a directory error, submit a narrow correction supported by the source checked. For example, explain that the displayed brand should be retained while the contracting-company field needs clarification. Avoid replacing a useful trading name with a legal name in a way that makes the business harder to recognise or confuses two distinct records.
A useful verification note describes its method and limits: which identity field was checked, against what source and on what date. A broad badge saying verified can imply far more than a name match. Buyers should ask what the method covers before relying on such a label.
If an unresolved relationship affects a contract, deposit or complaint, use the legal-services listings to identify potential advisers, then check their suitability independently. Return to the relevant business listing with a clear distinction between discovery information, official identity evidence and any matters still awaiting explanation. That makes the shortlist more reliable without converting the directory into an endorsement service.
Frequently asked questions
Can a trading name differ from the name on a quotation?
Yes, the difference may reflect a business name used by an individual or company. Ask for the relationship and verify the relevant identity before proceeding.
Can I search the Cyprus register without a paid API?
The Registrar provides an electronic search by name or registration number and describes basic information available free of charge. Some additional records and detailed searches are paid services.
Does registration prove a supplier is licensed?
No general licensing conclusion follows from an identity match. Check any permission relevant to the specific activity through the appropriate authority.
What if the bank recipient differs from the quotation?
Pause payment and seek a documented explanation through an established contact route. Obtain qualified advice if the proposed recipient or contracting relationship remains unclear.
